How do I change the budget number/OMNI account number for my copier charges?

Download the Copier Update Form located under orders and email the completed form, including updated budget information, to obs-servicesupport@fsu.edu.

Where can I find the invoice for my copier charges?

Copier charges are uploaded monthly as an OMNI journal attachment. Instructions are available through the OMNI Training website.

Is there a maintenance cost associated with this service?

Maintenance on OBS Departmental Copiers is included in your monthly cost per copy.

When will I receive service on my copier?

You will be contacted by OBS Customer Service within one-hour of receiving your request with details of your service request and tracking information. A technician will be onsite within 4 hours of receiving a service call.

How do I order paper?

Paper is not included in the lease or maintenance plans, but may be ordered through the FSU preferred contract supplier, RGH/Staples: https://procurement.fsu.edu/supplier/rghstaples.

What supplies are included in a copier maintenance plan?

Departments who wish to purchase their copiers from the Office of Business Services can also receive a maintenance plan. This will include parts, service, labor, toner, staples, and developer. Paper is not included. If you lease a copier, maintenance is already included in your cost per copy. Please contact us at obs-servicesupport@fsu.edu. if you would like more information.

User Codes

What is a user code?

Departments may enable a feature on your copier that will assign each user a code. This code will be entered each time an employee uses the machine and will track how much copier usage is coming from that specific employee.

What benefits will I gain from using this feature?

Using this feature will increase the security of your copier. Anyone who tries to use the copier who is not assigned a code will not be able to. Also, you will be able to track the exact amount of printing and copying each user is performing. You may also limit each user to a specific amount of printing/copying to any number. Once this number has been reached, the user will no longer be able to use the copier until access is granted by an administrator.

How do I add, modify, or delete user codes?

This can be done on your computer through the copier's web-interface with a few easy steps which will be explained during setup.

What information is needed to set-up user codes?

A list of the employees in your area that will be using the copier. Each user will need to be assigned a 4-digit number of your choice.

What is the cost associated with user codes?

There is no cost associated with using this feature.

Order

How do I add an accessory after my copier is installed?

Fill out the Copier Update Form and email to obs-servicesupport@fsu.edu. Accessories can be added in the first agreement year only.

What is the Copier Update Form used for?

The Copier Update Form is used for account information changes (location/contact/budget), to remove equipment (fax kit/finisher/saddle stitch), and ordering additional accessories (fax/saddle stitch/large capacity drawers).

Maintenance Plans

Is my department eligible for a maintenance plan?

If your department currently owns a Ricoh machine that was not purchased through the Office of Business Services, you may be eligible to join our maintenance program. We do not offer service for any other manufacturer. Please contact us at obs-servicesupport@fsu.edu for more information.
